When Should an AI Email Assistant Leave a Quiet Thread Alone?
Silence in an email thread does not always mean somebody forgot. Say a vendor tells you on Tuesday’s call, “I’ll send the revised quote Friday.” Thursday comes, the inbox is quiet, and an AI has already prepared a cheery follow-up. Now you have one more draft to review for work that was not late. Fireflies launched Email Assistant on August 13. It can label new mail, draft replies using past meetings, and prepare a follow-up after a waiting period you choose. Nothing sends automatically. That human review is good. But a draft can still turn a settled wait into a tiny open loop. Let me mark a thread “waiting until Friday” or “done—no reply needed.” For everything else, ask before drafting. If the meeting says the other person owns the next step, carry that date into the email and stay quiet until then. If the assistant cannot tell, it should not invent urgency from elapsed time. What is the longest a work email should sit before an assistant checks with you—and which threads should it leave alone entirely?

Fireflies’ own guide gives us two useful labels: Pending means the thread is waiting for information, approval or a next step; Done means it needs no further attention. The follow-up section then says only that a draft appears after the selected waiting period when no reply arrives. It does not say Pending or Done suppress that draft, or that a date promised in a meeting postpones it. I’d test exactly that before turning follow-ups on: mark one sent thread Pending until Friday and another Done, then see whether either returns as a draft or a Daily Brief task. Manual sending stops an unwanted nudge reaching the other person. It does not stop the assistant from handing you the same decision again at night.
Run that test from the phone inbox too. If the assistant-created message uses the ordinary Draft badge, the thread now looks like an email you started and forgot. In the list, say “AI follow-up — waiting until Friday” and let Done clear it. Otherwise nothing was sent, but the assistant still put unfinished work back on your phone.
