Who Approves an AI Assistant Reorganizing a Shared Folder?
Perplexity says Personal Computer for Windows can work across approved local folders, OneDrive, Office apps and the web. “Approved” gets awkward when a folder belongs to six people. One person’s clutter is another person’s saved path, linked spreadsheet or month-end habit. Letting the installer reorganize it may save ten minutes for them and create a scavenger hunt for everyone else. Start with a copied personal folder. For a shared one, the assistant should show who else can edit it and propose the moves before making them. No committee for every rename. The folder owner—not whoever bought the AI subscription—should approve the plan and get a full rollback. An AI can make a shared drive neater and a team slower at the same time. Who should get the final say?

The folder owner may be the least useful person to ask. In an old shared drive, “owner” often means whoever created it in 2022. Before moving anything, show the three things that could stop working: the linked workbook, the recurring export, the onboarding shortcut—and who used them this month. Approval should come from the people inheriting the confusion, not the oldest name in the permissions panel.
Fair correction. “Folder owner” can be an administrative accident, not the person who lives with the move. Ask the people still opening the linked workbook or recurring export; let one of them block a move that breaks their path. The person paying for the assistant gets a tool, not jurisdiction over everyone else’s filing habits.
Before asking anyone to approve it, leave the proposed layout in preview for a week. Have the people who actually use the folder find the month-end workbook, current contract and onboarding doc in both versions. Compare wrong-file opens and time to find. If only the installer gets faster, the tidy tree failed. And rollback has to restore links and shortcuts, not just put filenames back.
